John Muir College Move Out 2017

Everything you need to know in order to properly move out of your 2016-17 space.

Our office hours during finals week will be:

Monday, June 12 & Tuesday, June 13: 9 am - 5:30 pm,

Wednesday, June 14, Thursday, June 15, & Friday, June 16: 9 am – 9 pm

Saturday, June 17, The Muir Residential Life Office will open at 8 am.

Closing and Exception Requests

Your housing contract ends on Saturday, June 17 at 6 pm.  Due to the impact of campus events occurring June 16-17, you will need to identify when you plan to move out of your current living space. You MUST indicate a move-out date via the “Move-Out 2017” on-line form at the following link:

https://hdh.ucsd.edu/sso/ugrmsportal/

If you are unable to move-out prior to June 17, 2017 at 6:00 pm, you may also submit a request for a late-move out extension on the same link.

If you are granted your requested exception, you must come to the Muir Residential Life Office to re-program your ID.  PLEASE NOTE: You will ONLY have until 12 am (midnight) on Thursday, June 8th, to select a move-out day and time, and/or to submit an exception

Graduating Seniors

Seniors who have registered to participate in the Muir commencement ceremony on Saturday, June 17 at 6 pm, MUST use the website in the “closing date & time” section above to request an extension to move out at a later time.  We will check with Muir Academic Advising that you have registered to participate in commencement. If you receive this exception, you must checkout at the Muir Residential Life Office by 10 am on Sunday, June 18.

Because this extension falls after the end of your housing contract, this exception is being granted to you ONLY and ONLY you.  Your belongings must be packed and ready to go before you go to commencement.  This extension is so that you have a place to stay on Saturday night, and so that you have a place for your belongings while you are at graduation.  Graduation parties and overnight guests on Saturday night are not permitted.  If you are approved for this exception and we find you in violation of these requirements, you will immediately be asked to leave, your approved extension will be revoked, and you will be charged for an improper checkout

Major Parking and Traffic Restrictions

Vehicles will be prohibited from entering the campus anywhere near Muir on Friday, June 16 and Saturday, June 17 from 7 am to 2 pm.  Vehicles on campus during this time can exit but will not be permitted to return to campus until 2 pm.  For more detailed information regarding parking and traffic restrictions, refer to this website:

 http://transportation.ucsd.edu/parking/commencement.html

BEGINNING ON MONDAY, JUNE 12, ALL VEHICLES ENTERING CAMPUS MUST HAVE THE FOLLOWING ACCESS PASS ON THEIR DASHBOARD.  You will need to print it.  PLEASE SEND THE LINK TO THE PEOPLE PICKING YOU UP.  You MUST have this voucher for access, which is always subject to change.  Do NOT take your frustration out on the parking representatives; they are only doing their jobs!

This access pass can be downloaded by clicking HERE

Express Check Out

If you are not able to check out at the Muir Residential Life Office when it is open because you have a late or early flight, or leaving at a time when the Muir Residential Life Office is closed, you can use EXPRESS CHECKOUT by following these procedures:

SIGN YOUR INVENTORY SHEET at the Muir Residential Life Office when it is open but before you leave campus.

When you sign your inventory sheet at the Residential Life Office, you will receive an official envelope to use for Express Checkout.  This is the official envelope that MUST be used for Express Checkout; you will only get one official envelope so DO NOT LOSE IT!  Any other envelope used for this process will cause your checkout to be improper and you will be charged $45 for an improper checkout.

Properly clean out your space as described in these guidelines.  Express checkouts are still liable for their suite/apartment’s cleanliness ahead of time. Be sure to have this discussion with your suitemates and apartment mates before you leave.

Complete the front of the official envelope, put your key in the official envelope, seal the official envelope, and deposit this official envelope in the mail slot on the mail room door in the mail room just north of “Roots”, and across from Glacier Point.

FAILURE TO sign your inventory sheet in the Muir Residential Life Office when it is open; use the official envelope you received when you signed your inventory sheet in the Muir Residential Life Office, (you will receive only one of these official envelopes!), deposit the completed official envelope in the mail room mail slot will invalidate your Express Checkout & you will be charged $45 for an improper check out.

Checkout Preperation

You must leave your room in the clean condition you received it when you moved in.  After you check out at the Residential Life Office, a staff member will check the condition of your room with your room inventory sheet.  You will be charged for anything not found to be in order according to your inventory sheet; you may be charged to repair any damage you call in to the Customer Service Center.  Please follow these procedures carefully.

  1. All room windows and sliding glass doors must be cleaned of tape, paint, and any other decoration. Be sure to close and lock your doors and windows
  2. Please empty your trashcan and recycling bin and remove all excess trash from your room.  There must be one blue recycling bin and one trash can per resident left in your room.
  3. All posters, pictures, memo boards, and other decorations must be removed from all walls, windows, and doors.  The paint must be in its original condition.  You will be charged for paint chips resulting from tape removal on your walls and any door for which you are responsible.
  4. You must vacuum your carpet.  Vacuums are available for check out from your HA or at the Muir Residential Life Office. Please remove all personal belongings from your house or apartment storage room, the balcony in your apartment, the kitchen, and the bathroom.
  5. ALL residents in a wing will be charged for excessive trash or cleaning of the wing and/or suite lounge no matter when they leave.
  6. All the furniture in your room at check in must be in your room at check out.  Any extra furniture you put in your room during the academic year must be removed.  If you do not remove excess furniture, which includes mini-fridges, you will be charged for furniture removal.
  7. Check your MAILBOX before you leave campus! Beginning Friday, June 16, the campus mail office will no longer accept mail and packages for UCSD students.  Unclaimed mail left in the mailboxes and packages that have been there longer than the 3 days prior to finals will be returned to sender as 'unclaimed'. For 60 days (until August 15), mail delivered by USPS will be forwarded to the permanent address listed on your student file. If you have a more current address, update this information on Tritonlink by June 16. All parcels and packages will be returned to sender starting June 16.  Generally, if you are living at Muir next year, you will retain your same mailbox number.  If you move to any other residential area on campus, you will receive a new mailbox number.

Damage and Cleaning Charges

All residents are responsible for the condition of their personal room and any common area they share with other residents.  You may also be charged for damage repairs you call in to the Customer Service Center (858-534-2600) prior t.o closing.  Damage and cleaning charges are based upon the extent of damage or cleaning necessary and the amount of labor and materials required to complete the job.  These charges will be billed to all residents of the area responsible for them (house, suite, bedroom, apartment, etc.).

Anticipated charges should be negotiated with your roommates, apartment, or suite mates prior to closing.  Such charges will only be re-directed to a specific individual(s) when the responsible individual(s) acknowledges his or her responsibility for the damage, and submits a written statement with his or her signature to the Residential Life Office PRIOR to Saturday, June 17

Recycling

Please do not trash anything that can be recycled!  The more we recycle, not only do we better the environment, the better chance we have at winning a dessert party during finals!   Donation bins from the Disabled American Veterans (DAV) are around Muir.  The competition goes through Friday, June 2, but the bins will remain through closing.  Please donate anything you do not want to bring home - from clothes to small appliances, TVs, and computer parts.  No one may take anything out of any donation bin at any time.

Bicycles

Please do not forget to take your bicycle home with you, otherwise Campus Police will confiscate it!

Meals

Dining will be adjusted at the end of finals week and on closing day.  On Friday, June 16 and Saturday, June 17, Ocean View, The Village Market, and Roger’s Market will be open from 7 am to 8 pm. Dining dollars remaining on your account at the end of the academic year are not refundable, nor will they transfer to next year.  The old cliché stands, “use it, or lose it!”  Consider visiting the Marketplaces around campus to stock up on some kitchen or school supplies for next year!

Personal Storage

Storage space on campus is not provided through the summer.  There are many local storage places to share with your friends.  Storage PODS are not permitted on campus.
